Policy Statement
  • The University, whenever possible and appropriate, will make its facilities available for use by both University and non-University interests whose purposes are complementary to the mission of the institution. However, the University reserves the right to refuse such requests when it is deemed to be in the best interest of the institution

Scheduling Guidelines
  • It is the policy of the Campus Recreation to maximize space utilization to meet the various and multiple needs of the university community
  • Campus Recreation has the right to limit access to its members to meet requests from individuals, special events, camps, clubs, or any other group on a case by case basis
  • Every attempt is made not to schedule gyms, outside of Campus Recreation, during the fall and spring semesters. Special events will be assigned to the Annex Gym during those time periods
  • Priority for advance scheduling and extended periods of time (i.e. all semester) is given only to Academic Classes, Campus Recreation, and member clubs of the Sports Club Council
  • Student Clubs and organizations wanting to reserve space for such events as Varsity Revue, Freshman Follies, and Cultural Dance Night are welcome to request space for 30 days maximum in 2 hour blocks of time per day
  • If reserved times are not honored by a group, their reservations will be canceled and assigned to someone else
  • To maximize space we ask that a minimum of 10 people be involved. We do not reserve space for individuals; however, as an individual you are certainly welcome to use anything on a space available basis
  • Schedule requests must be submitted in writing on the Facility Reservation Form. NO PHONE REQUESTS will be honored. For your convenience you may download a printable form

Fees
  • There are no charges for OSU students to reserve space in the facilities, if it is an OSU function with 100% currently enrolled students
  • There may be fees that apply if...

  •        *Your event is charging any fees to the participants - even if it is only to break even. This includes philanthropic causes for fund raising events
           *Any of your participants are non-OSU students or not members of the CRC. This includes spectators, spouses and children
           *You are representing an OSU department or academic class and want to reserve space for conferences, meetings or sporting contests. Campus Recreation is an auxiliary department and does not receive funding from the General University
           *You represent an external organization outside of the university

Lead Time for Scheduling
  • Events requiring set-up, equipment, supervision or custodial services a minimum of two weeks advance notice is required. Requests less than two weeks will be rejected
  • Space may be reserved for 2 hours blocks for a total 30 days. Requests can be submitted repeatedly two weeks in advance

  • Gyms

  •        *Not reserved during the fall and spring semester in the CRC
           *The Annex Gym is available and fees will apply for supervision
           *Gyms in the CRC are not reserved for practices
           *Some events played in Intramurals are not acceptable any other time in the gyms, such as, Dodge Ball and Floor Hockey

Confirmation of Requests
  • You request will be answered by email within 48 hrs. Be sure to fill out your Facility Reservation Form accurately and legibly
  • Do not assume you will receive your requested dates and times. Often a different time, earlier or later, will be offered to try and be as close as possible to your preferred request. If you do not like the alternative choices please notify Campus Recreation at 744-5510 and cancel your reservation requests
